  • There are two roles at entry: specialists run sessions and clients book sessions.
  • Specialist registration requires an invitation code and a workspace name. Clients connect through a personal invitation from their specialist.

During early access, onboarding is arranged by request.

  • The schedule shows the time, client, format and session status. Day, week and month views help you review your workload.
  • A session has a date, time, duration, client and format. Recurring sessions use a repeat pattern; a review screen shows the dates and overlap warnings before saving.

Working hours define the visible grid. Your personal time zone affects displayed times.

  • The card brings together contacts, internal notes, session history, balance and Telegram connection status.
  • A personal invitation links the client to their portal. The card shows whether the invitation has been accepted.
  • Archive a client from their card with confirmation while keeping history. An archived card can be restored.

Clients cannot see internal notes. Without a Telegram connection, they cannot receive bot messages.

  • A top-up adds sessions to a client’s balance and records the amount received. Configured price options help fill in the form.
  • Transaction history explains balance changes. You can see remaining sessions, sessions on credit and clients who need a top-up soon.

This records money already received; it does not process a bank payment. A scheduled session is not a completed session.

  • Closing records what actually happened. Held sessions, no-shows and cancellations have different accounting outcomes.
  • The form provides a review before saving. Closing updates status, history and, where applicable, balance. Unclosed sessions remain in “Needs attention”.

Rescheduling uses a new date and time. A client confirming attendance does not close the session.

  • After accepting an invitation, clients see their own schedule and session balance. An upcoming session may ask “Are you coming?”.
  • Clients confirm attendance or say they cannot attend. To change a booking, they submit a cancellation or rescheduling request.
  • In Inbox, the specialist accepts or declines and reviews the summary. Decisions stay in History. Proposing another time is currently hidden in the interface.

The portal hides other clients’ data and internal notes. The specialist decides on cancellation and rescheduling requests.

  • The profile includes Google connection, sync status and a sync-again action. Authorization takes place in an external browser.
  • Ritmelio creates a separate calendar and sends sessions to it. When disconnecting, you can keep or delete that calendar.

Google edits and other events are not imported back. Revoked access requires authorization again.

Telegram notificationsReminders, requests and unclosed sessions.
  • The profile lets you enable notification types: daily agenda, reminders, requests, unclosed sessions and other events.
  • The client reminder an hour before has “I’ll be there” and “I can’t make it” buttons. The specialist reminder 15 minutes before has “Open session”. Requests have “View request”; unclosed sessions have “Close session”.

The bot must be reachable and notifications enabled. Quiet hours can defer delivery; messages that have become irrelevant are not delivered.

  • The profile contains the workspace name and time zone, low-balance threshold, prices and current subscription.
  • Personal settings include English, Ukrainian or Russian, time zone, theme, session durations and quick access. Working hours and quiet days have separate settings.

Language and personal time zone save immediately after selection. Use Save for other settings. Changing the zone does not move sessions.

  • The assistant answers questions about clients and schedules using available workspace context.
  • It includes separate conversations, history, an archive and a remaining-request counter. An answer can help you start reviewing a client’s history.

AI can be wrong. Check important conclusions against client cards and the schedule. Voice input and new AI actions with confirmation are planned.

  • The broadcast form contains text and an optional image. Choose from the available client audience before sending.
  • Drafts, delivery state and responses help track a broadcast. In Telegram, clients see “Interested” and “Not interested” buttons.

This messages connected clients; it does not buy Telegram advertising. Delivery depends on bot availability and recipient settings.

  • The selected period determines the recorded-payment and session summary. A chart and heatmap show how work is distributed.
  • Outcomes and obligations show completed sessions, cancellations and sessions still owed to clients.

These metrics use Ritmelio records. Unclosed sessions and unrecorded payments affect report completeness.
